1. Data we process

We may process the data you provide when registering, requesting information, or contacting Plannink, including:

• First and last name.
• Company name, job title, and country.
• Business email.
• Phone number and WhatsApp, when provided.
• Approximate number of active SKUs.
• Information about your current planning process, for example whether you use Excel, an ERP, or both.
• Messages, requests, and communications you send us.
• Account information when you use the login.
• Recordings of calls, demos, or meetings, when you have been previously informed.
• Technical, security, and browsing data generated when using our sites and services, including data obtained through necessary cookies and, if you accept them, analytics cookies.

We do not intentionally request sensitive data. Please do not send us health, biometric, or financial data, or confidential third-party information through our forms or contact channels.

2. Purposes and legal basis

We process your personal data to:

• Respond to your requests and coordinate meetings or demos.
• Create and manage your account and provide our services.
• Understand your company's needs and personalize commercial communications.
• Manage the pre-contractual, contractual, and support relationship.
• Send commercial information by email, phone, WhatsApp, or SMS only if you give separate consent.
• Analyze website usage and improve our products, services, security, and user experience.
• Prevent fraud, abuse, security incidents, and unauthorized use.
• Comply with legal obligations, defend our rights, and manage claims.

The legal basis depends on each processing activity and may be your consent, the performance of pre-contractual or contractual measures requested by you, compliance with legal obligations, or the applicable legitimate interest, subject to assessment where required.

We do not sell your personal data or use it to make decisions based solely on automated processing that produce legal or otherwise significant effects on you.

3. Providers and transfers

We may share data with providers that act on our behalf to host the landing page, manage forms, storage, analytics, calendar, support, automation, and security. We currently use or may use Webflow, Google Forms, Google Sheets, Google Analytics, Google Calendar, Sheetify, and database providers.

These providers may process or host data outside Ecuador. When this occurs, Kpital Link will apply the contractual, technical, and organizational safeguards required by applicable law to protect it.

We do not share data with third parties for their own advertising purposes, unless this is disclosed in advance and a valid legal basis exists.

4. Retention and security

We will retain prospect and contact data for up to 24 months from the last interaction, unless a contractual relationship, legal obligation, claim, or legitimate retention need justifies a different period.

We will retain evidence of consents for up to 36 months, or for as long as necessary to demonstrate compliance with our obligations.

We apply reasonable security measures, including access controls, authentication, permission management, encryption where applicable, backups, activity logging, and restricted access for authorized development, privacy, and customer support staff. No system is completely secure; in the event of an incident, we will act in accordance with applicable law.

5. Cookies

We use strictly necessary cookies so that the landing page and forms work. With your prior acceptance, we may use Google Analytics cookies to understand, in aggregate, how the site is used and to improve it.

You can accept or reject analytics cookies from the cookie banner. Rejecting them will not affect the essential functioning of the landing page.

6. Your rights

You can request information, access, rectification, update, deletion, objection, suspension of processing, cancellation, portability, or withdrawal of consent, as applicable under the relevant law.

To exercise them, write to privacidad@kpitalink.com with the subject "Personal data rights — Plannink" and include your name, the email you used, and your specific request. We may require reasonable information to verify your identity and protect your data.

We will confirm receipt of your request within 24 business hours and will address it within the timeframes required by applicable law.

7. Minors

Plannink is intended for people over 18 years of age. We do not intentionally collect data from minors. If we identify that we have processed a minor's data without a valid legal basis, we will delete it or take appropriate action.

8. Changes and contact

We may update this policy when our services, providers, processing activities, or applicable law change. We will publish the current version along with its update date.
